Front Desk for dental clinics

Every call answered. Every new patient caught.

Hi, it's Maple Dental. Sorry we missed your call! Are you looking to book a visit, or is something bothering a tooth?
New patient, need a cleaning
Welcome! Tuesday at 10 AM or Thursday at 9 AM for a new patient exam and cleaning?
Thursday 👍

What it handles

New patients

Takes name, reason, insurance and a preferred time, and confirms the number to text.

Emergencies

Toothache or a broken tooth gets the earliest slot. Spreading swelling or trouble breathing gets sent to the ER first.

Insurance questions

Answers from your actual billing setup and never promises coverage it can't confirm.

Reschedules

Takes the change and texts it to your front desk to confirm.

Missed-call text-back

A call that slips through gets a text in seconds, and the patient can book right in the thread.

Reviews

A 1–5 rating text after each visit, then your Google link. Follows Google's rules.

How it works

1

It answers

Calls you miss forward to the receptionist. It picks up on the first ring, day or night, in the caller's language.

2

It books

It finds out what they need, takes their details and spells the name back. The caller gets a text right away.

3

You confirm

You get the lead card by text: who, what, when. Every call and transcript is in your portal.

Every patient, start to finish

The receptionist gets them booked. Then every visit runs on its own, by text, in your words. Nothing reads health records or gives medical advice.

  1. 1

    Booked

The patient gets a confirmation text with your online health-history form, so it's filled in before they arrive.

  2. 2

    The day before

A reminder with your prep instructions for that treatment. At 5pm your front desk gets tomorrow's list, new patients flagged.

  3. 3

    After the visit

Your aftercare instructions for what they had done, in your words, sent the same day.

  4. 4

    How did we do?

A 1–5 rating text. Every patient gets your Google link, and a low score texts your office right away so you can call them first.

  5. 5

    Six months later

A recall text to book the next checkup, skipped if they already have one booked.

  6. 6

    Replies reach you

Anything a patient texts back goes straight to your front desk's phone. Nothing sits unread.

Questions

Does it book straight into Dentrix or ABELDent?+

Not yet. It takes the booking request with the patient's preferred time and texts it to your front desk, and your team confirms in your own system. Nothing changes in how you schedule.

Will it give medical advice?+

No. It never diagnoses or recommends medication. Clinical questions get "the dentist will take a look", and anything serious is sent to the ER or 9-1-1.

Do I keep my phone number?+

Yes. Your team still answers first. Only the calls you miss, or calls after hours, forward to the receptionist. It is a setting with your phone provider and takes a few minutes.

Will callers know it's AI?+

It sounds like a calm, quick front desk. If someone asks directly, it says it is your virtual receptionist and keeps helping.

What languages does it speak?+

English, Punjabi, Hindi, Mandarin, Cantonese, Tagalog, French and Spanish. It switches mid-call when the caller does.

Are calls recorded?+

Yes, and the greeting says so. You can read every transcript in your portal.

How long does setup take?+

About 15 minutes: you tell it your hours and services, we give it its own number, and you forward your missed calls with one code on your cell. Landlines are usually live the same day.

Is there a contract?+

No. It is month to month, and you can cancel by text any time before your next billing date.
